Setting Up Spam Protection for your domain
First, you need to login to the Web interface of IMAIL as your domain administrator. If you do not have your Domain Administrator user account or do not know the password, please contact us at (301) 682-5100 or send an E-mail to support@swiftsystems.com

After Logging on, go to the drop down menu on the right and select Anti-Spam Administration.

3. Next, Select Host Black List. In here you will have the option of selecting which servers you can use to compare where your mail is coming from, to see if it is spam.

*** Swift Systems provides a list of available servers, known as "black list servers", which can be used to detect if the incoming mail is coming from someone who is believed to be a known spammer or source of spam. None of these services provide guarantess of 100% accuracy so some legitimate mail may be blocked, but we have done our best to provide you a list of reputable black list servers.

4. You should have a screen that looks like this. And here are explanations of each of the fields.

In this field it lists the servers which it is comparing your mail to, to check if it is spam. If your mail is found to be spam using these servers, IMail will add an X-header to the message, which then can be used with processing rules to dump the spam into a separate mailbox.

We recommend using the X-Headers because that way you can check the mail that is being marked as spam every now and then to make sure that no legitimate mail was mistaken for spam. Also, we recommend that none of the checkboxes below the "DNS Black Lists" area should be checked.

5. After choosing which way you want to use this feature hit the add button below the field which you want to add the server to. This will popup a new window.

6. Next, put a check box in the servers which you want to add. Then click "Add to Host Black list" . That will add the servers into the list, which IMail will use to check to see if your mail is spam

*Note we do not recommend using fiveten, unless you want to be very aggressive, because they may block a lot of legitimate Email.

7. If you only entered servers into the "delete automatically" list (or Trusted Black List Servers list) you are done. But if you inserted the servers into the Standard black list group (insert X-header), you have a few more steps to follow. Go to your drop down menu and select Domain processing rules.

***  Using domain processing rules you can either send all spam to one account (and assign someone in your company to check it once in a while, or if you think a valid message may have been caught in the SPAM filter), or you can have it send the SPAM to a "sub" mailbox for each account.  So, you may want to stop at this point and create a new account called spam (or something like this) where the mail can be directed to.  This will be covered in more detail later in the article.

8. Now, you are going to add a rule. Make sure in your "bound" drop down box inbound is selected. Then hit the add button.

9. Next you want to select the radio button that says "contains". Then in the field drop down choose "Header". Then in the phrase field type "X-IMAIL-SPAM". Then hit add condition. Now it will look for all the messages which have now been marked as being spam. At the bottom where it says destination, is where you decide what the mail server does with the mail that is found to be spam. In this example I am going to have it move any message that is spam to a sub mail box named spambox (Each user will get a sub mail box named spambox, so they can check the messages which are marked as spam) (Sub mail boxes can be viewed using the web interface). To do this I select in the drop down "Move message to this mailbox:". Then in the destination field type "Spambox".

*** You could also select "forward this message to:" and enter your "spam account" here.

10. To complete the rule, click "finish".

There are other types of mail filtering that you can setup such as:

  • Phrase filtering ~ This will scan the messages you receive for special phrases and if that text is found you can tell IMail to handle it differently.
  • Statistical Filtering ~ This will scan the messages you receive for special words and if that word is found you can have IMail handle it differently.

    ***Note: Both of these services have thousands of entries already there in a separate file which is provided by a third party. So just by enabling these you can filter spam.

You can also setup IMail so it will automatically take what ever mail is sent from a address/domain.

  • White list ~ This is a list of domain's or specific email address's which you always want to receive mail from.
  • Trusted IP List ~ This is a list of IP address for trusted mail servers which it will always accept mail from.
